Why I am allowed to use your information

Data protection law requires me to have a lawful basis for using personal information.

Depending on the circumstances, I may rely on:

  • Contract or steps taken before entering into a contract – for example, when arranging and providing a session or retreat you have booked.
  • Legal obligation – where I am required to keep or provide certain information by law.
  • Legitimate interests – for appropriate business administration, maintaining records, protecting my business and clients, and managing enquiries.

Keeping your information confidential

I understand that the information you share with me may be personal and sensitive.

I treat client information as confidential and take reasonable and appropriate steps to protect it from loss, misuse, unauthorised access or disclosure.

Information may be held in paper and/or electronic form depending on how it is collected and managed.

Paper records are kept securely. Electronic information is stored using appropriate security measures, and access is limited to information that is necessary for me to provide my services and manage my business.

How long I keep your information

I do not keep personal information for longer than necessary.

Client records are retained in accordance with my professional and insurance requirements. As a CNHC-registered practitioner, client records are currently required to be kept safely for eight years from the date of the client’s last visit, subject to the specific requirements that apply to records relating to children. My professional indemnity insurance requirements may require certain records to be retained for longer.

When information is no longer required, it will be securely deleted or destroyed.

Who I share your information with

I do not sell or rent your personal information.

I will only share your information where there is a legitimate reason to do so, for example:

  • Where I am legally required to do so.
  • Where it is necessary to protect your safety or the safety of another person.
  • Where it is necessary for professional, legal or insurance purposes.

Where I use third-party services to support my business, such as website, email, booking, payment or other service providers, those providers may process information on my behalf where necessary to provide their service.

Your information and email communication

If you contact me by email, telephone, online form or another communication method, I will use the information you provide to respond to your enquiry and, where appropriate, manage your booking or ongoing sessions.

I will not add you to a marketing mailing list simply because you have made an enquiry or attended a session.

If I wish to send you marketing communications where consent is required, I will ask for your permission and you can withdraw that permission at any time.
